How to keep track of warehouse entry balance

One of the more notable features IMEXNET offers is the ability to keep track of and alter a Warehouse Entry's balance. Aside from using the report available in the system there are also different methods available to alter the overall warehouse entry balance, from withdrawing using both an entry and an in-bond, to being able to transform the balance using a Blue Letter. In this guide we will go over not only how to view the balance and its changes, but also explain the different fields on the view.

Instructions

  1. In order to first find where one can review the warehouse entry balance, open up the US Customs Clearance module, and there select the Entries option. Right click on an entry that is type 21 and select the Withdrawals option from the drop down menu.

  2. This will open up the Withdrawals for Entry window. On the table you will have all the current withdrawals for the entry, listing them by the date and how much was withdrawn.

  3. We will go over the three different kinds of transactions that can appear here. The first are the withdrawing methods using an Entry Type 31 - Warehouse Withdrawal for Consumption, and an IE In-bond. The last method involves the transformation of a balance using a blue letter.
    1. Type 31 Warehouse Withdrawal for Consumption Entry
      1. You are able to withdraw from the Warehouse entry by using a Type 31. In order to withdraw from the entry you open up the summary portion of the Type 31 entry and press the Whse Withdrawal button. This will open  up the Warehouse Withdrawal window and here you can set up the entries withdrawal.
    2. IE - In-bond
      1. To withdraw from a warehouse entry using an IE in-bond, press the Withdrawal button in the primary in-bond screen after creating the in-bond. This will open up the Warehouse Withdrawal window and here you can set up the in-bonds withdrawal.
    3. Blue Letter
      1. In the case of a blue letter, you will have to add it manually on the Withdrawal for Entry window. This can be done by entering the Withdrawals for Entry window and pressing on the add button. The Warehouse Withdrawal window will then open, and it is here you will have to manually add the Blue Letter.
      2. On the Withdrawn No. field enter the Blue Letter number in the example case of this Entry we put down BlueLetter77. Enter the Withdraw Date and Whse Entry Port as per usual. On the Update Balance field it is important that you have it set to Yes and under Final Withdrawal you will normally have this field as No, otherwise you wouldn't be able to withdraw from this entry further. The Last step needed is to change the Previous Balance to the new desired balance for the entry. Then press the save button to save the line and apply the changes.
      3. It is important to note that in order to transform the balance using a Blue Letter, you are needed to have Edit Key privileges on your user profile in order to be able to edit the warehouse withdrawal. We will have further instructions at the end of the guide explaining what privileges your account needs and how you may set them. 
  4. You are also able to keep track of the warehouse entry balance by opening up the entries Closing Warehouse Entry form. This can be done by selecting the entry and pressing on the Forms button located on the menu strip. This will open up the Print Forms window and here you check off the Closing Warehouse Entry box and then press the run button.

  5. This will open up the form and detail the withdrawals and changes made to the Warehouse Entry. As shown in the image below, we can see that there have been a total of two withdrawals one from an Entry for 5 and one from an In-bond for 10. Furthermore we can see that there was a transformation of the merchandise done by a Blue Letter,  transforming the new balance to come as 1000.


Electronic In-bonds that are withdrawing from a warehouse entry should only be Type 61, 62, or 63.

Edity Key Privileges

  1. In order to add Edit Key privileges onto your IMEXNet account you have to first go to the Utilities module and from there select the Employees option. There you will be presented with a table of different accounts currently in the system. Select and edit the account you want to add these privileges too.
  2. On the Employee window in order to apply the privileges search for the Edit Keys field and set it to Yes. Then save these changes by either using Save or Save and Close.
  3. When you return to the Entry listing press the Refresh button to apply the changes then you should be able to edit the Warehouse Withdrawals without an issue.
