How to: Set up a new importer

To access Importers/Consignees screen the first thing you have to do is:

A) Select the Core module on the left side bar and under that module select the Importer & Consignee option on the same side bar. This will then display a grid view containing all of the Importers and Consignees in the system. To Add a new Importer click on “Add”, If you want to use consecutive number Click on Yes on New Importer/Consignee box.

 

Doing so should then move you into the window below, this is where all the information regarding the Importer/Consignee is kept.

B) You must first add an Importer No., Name, fields required mark on Yellow color. Address, Identification (Tax Id, CBP Assigned Number), Statement Payment Type and Type of Bond are required for an Importer.

Contacts Tab are important to be included on the notifications tab., keep in mind that not all contacts will be notified just the one that you select, more on that when we get to that part. To add contacts you first must press the Contacts tab located under Notes, this will display the list of current contacts in that importer/consignee. In order to add a new contact press the white page button that will create a new contact.

This will open up the “Add Contact” window, here you enter the information of the contact, something to take note of us that the only required information needed is First Name, Last Name, and E-Mail further information is optional. Once you are done imputing the information you may press the Save or Close button to complete creating a contact. The contact will then appear on the grid in that tab as shown above.

Customer Relations Tab

Automated Added Relation of Importer with Customers. Once an Importer is used on an Entry, this is related to Entry Customer and displayed on this tab for maintenance.

Settings Tab

Configuration for Type of File Format for Integration, Automatic Data Integration, Product Catalog, etc. **Changes to this section must be validated with IMEXSOL Support.

Notifications/Tasks tab.

You can setup 4 different notifications

  • Cargo Certification – When a Cargo Transmission is accepted.

  • Cargo Release – When a Cargo Status is changed to ONE USG/Release.

  • Change Rel. Status/Intensive – For each Cargo Status change you receive a notification.

  • 7501 Accepted – When an Entry Summary Transmission is Accepted.

You can also attach documents related to Entry to any notification as (Inward Manifest, 3461, 7501,etc.)

Here is the grid view containing the notifications that will be sent out when a certain event takes place. To first create a Notification/Task press the Add button, this will create a new line in the grid and you can enter the information of the type of notification as well who it should notify. After creating the notification you can choose who it should notify via the checkboxes. if you want to choose specific contacts to notify then select the row and press the Related Contacts button to select the Contacts.

Pressing the Related Contacts button will open the Notification Contacts window. On the Contacts List box a list of all the contacts for that related Importer/Consignee will be listed, in order to relate them to a particular notification select the row and press the Add button this will then move the contact into the Included on Notification box. You may also remove contacts from the Included on Notification box so they no longer get any notifications when that event takes place.
